Google Workspace Setup

Setup happens in two places: your Google Admin Console, and Aline CRM.

What you'll need

  • Confirmation that your organization uses Google Workspace. This integration doesn't work with a personal Gmail account.
  • Access to your Google Admin Console with Super Admin rights.
  • A list of which Aline CRM users should sync with Google. Each of these users needs a Google Workspace account in your organization's domain.

Step 1: Set up access in Google Admin Console

  1. Sign in to the Google Admin Console.
  2. From the dashboard, click Security.
  3. Scroll down and click API controls.
  4. Under the Domain Wide Delegation section, click Manage Domain Wide Delegation.
  5. Click Add New to add a new API client.
  6. Enter the following:

Leave out the gmail.send scope to enable calendar sync only, without email sending.

  1. Click Authorize.

Let your Aline contact know once this step is complete. Setup in Aline CRM can then begin.

Step 2: Set up the integration in Aline CRM

To complete this step yourself, follow the steps below. Or send your completed Google Admin Console setup to integrations@alineops.com and Aline's team will finish it for you.

  1. Click Admin in the left-hand navigation.
  2. Click Exchange.
  3. Click + Add Exchange Server in the upper right.
  4. Fill in the form:
    • Exchange Version: Gmail
    • Name: A label for your reference (for example, "Company Name Google Workspace")
    • URL: https://www.googleapis.com/auth/calendar
    • Impersonation User and Impersonation Password: Any values are acceptable here. These fields aren't used to authenticate the integration (that's handled through the domain-wide delegation set up in Google), but they can't be left blank.
    • Send Email: Check this box if your users will send emails to leads from Aline CRM through Gmail. Leave it unchecked for calendar-only setups.
    • Sync Only the Following Activity Types: Add the activity types you want copied to Google (for example, Appointment, Tour, Meeting). If you leave this blank, all active activity types will sync.
    • Sync All Day Tasks and Import Calendar Events As: These fields don't apply to this integration. You can leave them at their defaults.
  5. Click Save.
  6. Confirm the users who will use this integration are listed under the Accounts section. New accounts show a status of Pending under Calendar Status and Email Status.
  7. Click the sync icon next to the server you created to start the first sync. This can take up to an hour depending on how many users and activities are involved.
  8. Once the sync completes, the Calendar Status column updates for each user based on their sync result.
  9. The Email Status column stays Pending until a user sends their first email. To confirm the setup is working without waiting, click the test email icon next to their account to send a one-time test email.

If a sync doesn't complete successfully

The Calendar Status or Email Status column may show one of the following if something needs attention:

  • Unauthorized: The Google Admin Console setup in Step 1 hasn't been completed or confirmed for this domain.
  • Access Denied: The gmail.send scope wasn't added in Google Admin Console, even though email sending is turned on in Aline CRM.
  • Impersonation Failed: The listed Aline CRM user doesn't have a matching, active account in your Google Workspace.
  • Invalid User Email Address: The user's email address in Aline CRM doesn't match an active Google Workspace account.
